The secret to a handover without an argument: the same protocol, every time

Five steps, always in the same order and with the same delivery format. That is what makes two reports on two different properties comparable.

How I work

Closing a flat is the last day of a chapter. Behind it there is a move, nerves and, sometimes, an open dispute with the landlord. I arrive at exactly that moment.

No two departures are alike. Some people leave because they chose to, but most do not: there is grief, anger, nerves, a flat that was their home. The exact order, the words and the silences are what I have refined across all of those situations, and it is what closes a handover on the first visit.

There are three things I have learned doing this work.

I am nobody's adversary.
I arrive as an independent professional, not as a party to the dispute, and that changes everything: whoever opens the door should sign without feeling they have lost a second time.

A visit has to have an order to it.
I walk the flat the same way every time, room by room, explaining what I am looking at as I go. Everything is documented, but nobody feels inspected: whoever lives there can follow the visit and understand what will end up in writing.

Anyone who disagrees has to be able to say so.
If someone wants it on the record that they do not accept what the report says, it goes on the record. I never argue with it. Putting their disagreement on the record is precisely what lets the handover close there and then.

I am the managing agent's eyes inside the flat. The report answers the two questions that cost money: what needs doing to get it let again quickly, and whether the deposit comes back in full. With photographic evidence of everything, and without anyone leaving the office.

How it looks from your office

Instruction
We agree scope, deadlines and access, and I open a case file with its own code. You get written confirmation of what is and is not included.
Deliverable: instruction sheet with scope, price and delivery date.
Visit
I walk the property to a fixed routine: rooms, services, windows and doors, meters and known weak points. Nothing depends on anyone's memory.
Deliverable: dated gallery and a complete field sheet.
Verification
I check the field sheet against the photographs before anything goes out. If evidence is missing I visit again: I do not speculate in a document that may end up in a negotiation.
Deliverable: every finding matched to its photograph before publication.
Report
I publish the report in the client area with the gallery and the associated documents. You get an email as soon as it is available.
Deliverable: signed PDF + gallery + filing documents.
Follow-up and closure
The issues we find do not stay on a list: they become actions with dates. The case file closes when they are resolved, or when the client decides to leave them open.
Deliverable: record of actions and a closing statement.
